The Auditor

The Auditor is the most important person to determine if the Board has fulfilled it´s duties financially. She/he will submit a recommandation in the auditor statement at the General Assembly whether the Board can be released or not. If not it will usually mean that certain aspects still need clarification before a final judgement on their period in office can be made. A deadline should be named, before the extra General Assembly (next one) will take place to give the auditor enough time to check up on the developments. All three board members share the responsibility of the finances. (German Association Law) The Third Board Member is not carrying this weight alone.

The auditor will conduct an audit. It is a check of all ins and outs on the bank account and in cash in both currencies: Euro and Zloty. The repayment forms with the debtors (mainly debts of rent) should also be checked but aren´t important to our tax consultant. We have purchased a coin counting machine for Euros, which you will find in the bottom drawer to the right of the office PC.

If losses occure in the term of the Board members must pay the amount divided by three (each board member) themselves or must make use of their liability insurance.

Audits should take place every two months at least to reduce major mistakes from new board members early on. This is also advantageous with regard to handing over the previous year's documents to our tax consultant in the winter semester. This usually must happen in February or March. According to German Association Law (German: Vereinsrecht) the taxation shall happen after three years but with boards changing very often in fforst sending over documents every year is the more senseful thing to do.
