The TOPs refer to the agenda of the assembly, meaning its order of business.

In parliamentary procedure, an order of business, as the name may suggest, is the sequence of items that is to be taken up during a meeting. This sequence may be a standard order of business or a sequence listed on an agenda that the assembly has agreed to follow.

If you prepare a good agenda (TOPS) and you have complete information in your TOPs e-mail, you will save time, because then you already have all the information you need for the assembly.


How to prepare the TOPs:

For preparing the fforst-assembly-agenda, please look for an e-mail with the TOPS for an past assembly and copy it's structure. The structure is normally the following one:

1. Cleaning: ask the cleaning ressort for information regarding who was responsible for the cleanings that week (House 3 + House 4 + EE)

2. Past Events: Look the calendar to see if there were more events than fixed events (i.e., Movie night + Open fforst). In case there were more events, write them down with the dates. If there is any relevant comment/feedback that has to be done regarding this events (something that was wonderful, something that wasn't that good) please write it down in the TOPs, or mention it at the assembly.


3. Upcoming Events: Look the calendar and see how many events we have in the next 3 weeks. Write all the events for the following 2 weeks. Regarding the 3rd week, just write it in case there is something that has to be clarified. Recommended is to write the name of the responsible person, and if any update is needed, or something has to be organized. If in the 3rd week there is no “big” event, you don't need to put anything from that week in the “Agenda”. Please, remember to check if there is any AStA / StuPa assembly in the next days! These are really important!

4. Board Concerns: here you have to write everything that the board members find it important to be said. It is important to inform about all the decisions you are making. Also to inform how many request we had (per e-mails, or other contacts) for events, cooperations and so on. Also the other board members should write their concerns.

5. Your Concerns: here you have to put any concern you already got from our members that you have received per e-mail or in a personal conversation.
