AStA Applications for events

Every time we plan an event in fforst, we have the possibility to make an AStA application.

This application helps us to finance our projects and events. An AStA application can give us till 50% of the total costs of our event. Meaning that if the costs are 100 Euros, the AStA will give us till 50 EUR (depending on the fulfillment of their requirements). This means, that the fact that we make an application does not ensure us to obtain this 50% of the costs. For that reason it is important to make good applications that fulfill the requirements of AStA. 

The maximum amount of money that AStA can approve is 300 EUR. If it’s more, the project will go to StuPa (Students' Parliament).

The application consists in 2 different documents:

• (1) the Application Form and

• (2) the Financial Plan.

After the application was accepted, we need to submit a financial statement which consists of:

• (1) the Financial Statement Form,

• (2) the Financial Statement Table and

• (3) the Report of Event

Getting Started & Important Infos

Few things you need to have in mind is when you start:

• When is the fforst event and when is the next assembly of the AStA?

• The AStA Application should be sent and approved before the event takes place. 



• The AStA Application should be sent to the AStA 24h before their assembly. Meaning, if the assembly starts next Monday at 18:00, the application should be sent to the AStA latest onSunday at 18:00.


• The application has to be sent per e-mail but also a hard copie has to be submitted. You can put it in an envelope and put it in the AStA office mailbox.

Filling out the Application Form

You have to fill out the APPLICATION FORM (to be found at the AStA Viadrina Website: http://www.asta-viadrina.de/wp-content/uploads/2017/08/Projektfoerderung_Antrag-1.doc )

For doing that, you need to make little description of the event and fill out the different elements of the form (see annex). IMPORTANT is the fact that for the description you need to use GENDER-INCLUSIVE LANGUAGE (e.g., Studierende; FrankfurterInnen).

Here how to fill each part of the application form:

The application form has 5 Parts:

Example: Die Veranstaltung ist drauf gerichtet, dass die Personen, die sich für Veranstaltung interessieren, einen   Eindruck von spannenden lateinamerikanischen Traditionen während der Veranstaltung kennenlernen.

• Durchführungszeitraum (Timespan):

Example: 27.04.17 - 18 Uhr

3. Gesamtkosten (Total costs):

• nach beiliegender Kostengliederung (Anlage 1) (according to attached Costs Breakdown - Annex 1):

Preparing the Financial Plan

Then, you need to make your FINANCIAL PLAN.

The financial plan has 3 parts:

• Expenses (or costs: remember that usually 50% is financed by fforst and the other 50% by AStA)

• 
Income (where you get the money from)

• 
Balance (which always should be in 0 zero) / (See Figure 1).


For doing this, it’s suggested to use a template (see annex at the bottom of the article).

Also, it is important to know that:

• you can't have an item that includes alcohol drinks; medicine; donations and tipps; tabac;

• the deposit of drink bottles should be not consider because it’s supposed that you are gonna get it back

• bags bought for carrying items are also not to be considered, so do not include them in the financial plan

The Application is ready, how do I submit it?

The application should be sent per e-mail to AStA Verwaltung (AStA Administration: asta‐verwaltung@europa‐uni.de) but also should be brought to the AStA Office in paper form (An envelope with the signed application: application form and financial plan).

The E-Mail should contain:

• the application form,

• the financial plan (as excel file and the financial plan in PDF format).

After the event: The "Abrechnung" (Financial Statement + Report of Event)

You have to fill out the ABRECHNUNG FORM (Formular zur Abrechnung von Projektgeldern: http://www.asta-viadrina.de/wp-content/uploads/dokumente/diverses/formulare/Projektabrechnung_Formular.doc )

• This is similar to the application form.

• The file name should be:

“Abrechnung + Name of the project” (e.g., “Abrechnung Noche Latina”)


You have to make the FINANCIAL STATEMENT (Abrechnung). For doing it, please look at the example. The main idea is that you modify your first financial plan according to the costs that you actually had. You need to do this according to some criteria:

1. For doing it, you need first all the bills/tickets with the things you paid (supermarkets bills; train tickets; food tickets; everything).

2. You have to numerate them .(ticket 1, ticket 2; ticket 3).

Remember: Deposit of bottles and bags bought for carrying items are also not to be considered (See annex).

3. You have to add two columns to your financial plan (see annex):

(1) where you can write in which ticket/bill you find that item of the financial plan and 

(2) the date

4. You have to make a copy of each bill (It's suggested to use an scan application of your phone or to make pictures of them) and create a single PDF-File with all the NUMBERED BILLS, so the AStA Finanzen could understand the financial statement.

The name of this file should be:

“Belege” + “name of the project” (e.g., “Belege ‘Noche Latina”)

5. Then you have to do is your EVENT REPORT. It has to be again in GERMAN and GENDER-INCLUSIVE LANGUAGE. You have to describe how was the event taking into consideration the following aspects:

• Timespan: From when till when / where
• 
Program: It is important to explain how was the evening and the program
• 
Guests: How many people came? and Who came? (e.g., students, citizens of the city; profesors; staff from the university?)

• Details: how was the atmosphere; if people enjoyed the evening; it there were remarks, etc.

EXAMPLE OF A REPORT:

Projektbericht “Europatag” at verbuendungshaus fforst e.V

Die Veranstaltung fand am Nachmittag/Abend, dem 9. April zwischen 14 Uhr und 21 Uhr statt. Der Abend sollte ein Treffpunkt für Bürger*Innen, Studierende, internationale Studierende und Geflüchtete der Stadt sein, die sich für Europa interessieren. Dies sollte sowohl den Studierende, als auch FrankfurterInnen und Nachbarn, eine Möglichkeit geben, unterschiedliche relevante Aspekte der Stadtgeschichte in einer außergewöhnlichen Atmosphäre kennenzulernen.
Im vergangenen Jahr haben wir am Europatag unter dem Motto „Hello from the other side" Gaststudenten über ihren Alltag in Frankfurt an der Oder befragt, syrischen Standup gehört und Beats aus Kamerun gelauscht. An diesem 9. Mai hat es uns in die Geschichte der Stadt geführt: „Hello from the other Zeit”. Die Veranstaltung hat sich auf eine besondere kulturelle Seite gerichtet, nämlich die Geschichte der Forststraße. Während der Veranstaltung wurden verschiedene Dimensionen dieser Geschichte berücksichtig: Stadtgeschichte, Architektur, Kunst, etc.
Um 16 Uhr wurde die Veranstaltung mit einer Rede eröffnet, die deren Konzept und Program dargestellt hat. Wir haben versucht, die Vergangenheit unserer Straße zu erkunden und sind in das Stadtarchiv, in Museen und ins Kabarett abgetaucht. Unsere Entdeckungen präsentieren wir Euch in einer kleinen Ausstellung im Windfang auf der Eventetage des fforsthauses.
 In unserer Veranstaltung wollten wir uns an den Schneider Isaak Pick erinnern, der in der Forststraße wohnte und 1943 in Theresienstadt ermordet wurde, weil er Jude war. Wir haben an ihn gedacht, indem wir den Stolperstein gereinigt haben, der vor der Forststraße 4 für ihn eingelassen ist. Die Reinigung des Stolpersteins fand um 18 Uhr statt.
Um 19:30 Uhr hat der US-amerikanische Standup Comedian Paul Salamone uns demonstriert, was es heißt, woanders zu sein, sowohl in Deutschland und im Berlin von heute zu leben. Dieser Teil der Veranstaltung wurde sehr gut eingenommen. Die Gäste waren sowohl aus der Stadt (vor allem aus Slubice), als auch aus der Uni dabei, was auch zu einem angenehmen Austausch und der Atmosphäre beigetragen hat.
  Mit „Piefke trifft Jazz" haben wir ein Experiment um ca. 20 Uhr gewagt. Johann Gottfried Piefkes Kompositionen stehen exemplarisch für die Marschmusik Preußens, komponiert wurden sie in Frankfurt an der Oder. Deswegen wollten wir wissen, was passiert, wenn „gerade" auf „ungerade" Musik trifft? Was, wenn man aus Piefke Jazz macht? Preußen auf Abwegen. Das „Experiment” wurde von zwei Mitglieder des verbuendungshaus fforst durchgeführt: Falko Schulz und Piotr  Zarzycki. Danach haben wir alle unsere Gäste herzlich zur Finissage von “Art an der Grenze” eingeladen.
Aussergewöhnlich war die Besuch und Partizipation von Senioren der Stadt, die sehr interessiert für unsere Ausstellung und die andere Aktivitäten unseres Programs waren (z.B. das Putzen der Stolpersteine vom Isaak Pick).
Ganz herzlich danken wir für die Unterstützung in der Recherchearbeit und dem Bereitstellen von Bildmaterial dem Stadtarchiv Frankfurt, dem Museum Viadrina, dem Kabarett „Die Oderhähne", dem Kleist-Museum und dem Ingenieur der Gebäude in der Großen Oder 42, der Forststraße 1 und 2. Für die finanzielle Unterstützung danken wir dem Allgemeinen Studentischen Ausschuss der Viadrina (AStA), der uns so ein kulturelles Vorhaben überhaupt erst möglich macht. Wir bedanken uns auch vor allem an alle Gäste, die vorbei gekommen sind und und unsere Veranstaltung besucht haben.

Important information for the AStA Application for fforst-Workshops

For the fforst Workshop:

it is important to have into consideration that:



• the application will go to StuPa because normally we need more than 300 EUR.

• you need to take into consideration paragraph “§ 6 Relative Fördergrenzen” which states how much money you can ask for per person and per night (in case the workshop is in another location and we have to pay for accommodation).

(1) Die Zuwendung beträgt in der Regel maximal 50 von Hundert der Gesamtkosten der Maßnahme.
(2) Die Finanzierung von Projektfahrten mit mindestens einer Übernachtung darf einen Betrag bei einer Gruppe von
a) einer bis fünf Personen von 15,00 €
b) sechs bis zehn Personen von 12,00 €
c) elf bis zwanzig Personen von 10,00 €
d) einundzwanzig bis dreißig von 8,50 €
e) einunddreißig und darüber 7,50 €
pro Person und Nacht nicht überschreiten. Maßgeblich ist die tatsächliche Anzahl der Teilnehmenden maßgeblich. Die bewilligte Fördersumme stellt den maximalen Auszahlungsbetrag dar.
(3) Fahrten zu Verbänden die wesentlich für die Mitgliedschaft und Voraussetzung für den Erhalt dieser Mitgliedschaft im Verband sind, werden ebenfalls als Projektfahrten gefördert. Für diese Projektfahrten mit mindestens einer Übernachtung werden bis zu vier Personen mit 20 EUR pro Nacht gefördert. Bis zu vier weitere Personen werden mit 18 EUR pro Nacht gefördert.
(4) Kommt es zur Nutzung von privaten Kraftfahrzeugen im Rahmen des Projektes, so werden 0,20 € pro gefahrenen Kilometer abgerechnet. Nachweis ist durch ein Fahrtenbuch zu erbringen
(5) In besonderen Ausnahmefällen kann ein höherer Zuschuss gewährt werden. Die Vollfinanzierung eines Projektes ist ausgeschlossen.

• for the “Abrechnung” you need a list with the signature of each participant that was there.

• HOWEVER, the '§ 6 Relative Fördergrenzen”' also states that more funding can be given, if the reasons are explained. fforst is an special initiative and you might be able to ask for more money to StuPa if you can "defend" why you need more funding for the workshop. So what you can do is to ask for more money, but to appeal for this sentence:

(5) In besonderen Ausnahmefällen kann ein höherer Zuschuss gewährt werden. Die Vollfinanzierung eines Projektes ist ausgeschlossen.
